We’re Hiring – Commercial Property Facilities Coordinator

PPH Commercial are East Yorkshire and North Lincolnshire’s largest firm of Chartered Surveyors and Property Consultants.

We are looking to recruit a full time Commercial Property Facilities Coordinator to join our Property Management team based in our Hessle Office.

Key Responsibilities

  • Schedule, coordinate, and monitor planned preventative maintenance (PPM) and reactive works across the portfolio.
  • Liaise day-to-day with clients, contractors, tenants, and occasionally landlords to resolve operational issues.
  • Track work activities, ensuring jobs and reports are completed accurately and on time.
  • Obtain quotations, raise purchase orders, and manage contractor invoices.
  • Collate and maintain statutory compliance records, including Health & Safety documentation, certificates, and RAMS.
  • Prioritise jobs and allocate tasks to contractors efficiently to ensure timely completion.
  • Update the property management system and upload all supporting documentation.
  • Monitor progress against booked jobs and ensure records are accurate for invoicing and reporting.
  • Produce regular weekly and monthly operational reports.
  • Provide general administrative support to the Facilities Manager and Property Management Team.
  • Support ongoing maintenance planning, identifying potential issues and suggesting preventative solutions.

About You

  • Strong technical knowledge of building services (HVAC, lifts, electrical, plumbing, fire systems, BMS).
  • Understanding of Statutory Compliance and Health & Safety requirements.
  • Excellent communication skills, confident liaising with tenants, contractors, and colleagues.
  • IT literate, with good working knowledge of MS Word, Excel, Outlook, and maintenance systems.
  • Previous experience in a facilities or property support role, ideally commercial.
  • Organised, detail-oriented, and able to prioritise workload effectively.
  • Ability to work within a small multi-disciplinary team, with excellent communication skills both oral and written.
  • Full UK driving licence and access to your own vehicle, as role involves travel between sites.

Salary £30,000 – £35,000 – depending on experience
